How to Verify a Global Supplier Before You Buy

The 5-step verification process used by experienced importers to avoid fraud and ensure quality before placing your first order.

Why Verification Matters


Every year, importers lose millions of dollars to supplier fraud, substandard goods, and vanishing vendors. The good news: a simple verification process catches 90% of risks before you wire a penny.


Step 1: Verify Legal Registration


Request the supplier's Certificate of Incorporation, Business Registration, or equivalent government document. Cross-reference this against your country's free registries:


  • UK companies: Companies House (free, instant)
  • EU businesses: VIES VAT validation
  • Indian exporters: GSTIN lookup, DGFT Importer-Exporter Code
  • Chinese factories: SAMR database

  • If a supplier refuses to share these documents, treat it as a red flag.


    Step 2: Check Export Licences


    Some product categories require export licences — textiles, food, chemicals, electronics. Ask for copies and verify them with the issuing authority's online portal if available.


    Step 3: Run a Video Factory Audit


    Before any significant order, arrange a live video call walking through the production floor. Watch for:

  • Machinery that matches claimed capacity
  • Workers actually producing the product
  • Packaging with the supplier's brand

  • Third-party auditing services (SGS, Bureau Veritas) offer on-site audits from around £150–£300.


    Step 4: Request References


    Ask for 2–3 buyer references from similar markets (ideally your country). A brief email to those buyers asking about reliability, quality, and payment terms takes 10 minutes and can save tens of thousands.


    Step 5: Small Trial Order First


    Never commit to a large order without a trial. Start with a minimum viable quantity — even if the price per unit is higher. Inspect on arrival using an independent quality control agent.
